  • We are keeping the meeting agenda on Teams, rather than moving it to Airtable.
  • Events from the Union’s room booking system will be copied over if they have any technical requirements. Events without technical requirements will not be copied over to Airtable.
  • The role of sending emails is to become the job of the Marketing and Engagement Officer, rather than Secretary.
  • Other people are to do some marketing (e.g.social media). This will allow a more frequent and consistent marketing presence.
  • There is a recurring issue of sound levels being too high with Sound of Sandy’s.E ar plugs should be available on the way into the Union. These should be available from security. Security may not be aware that they should provide these, so make sure that they are informed. Additionally, the fire exit needs taping out next time. Every time it was cleared, another group would come in and dump their bags. Ask whoever is booking bands to inform them ahead of time that if they block fire exists, their belongings will be moved without notice.
  • We are opening up DJ and Act Coordinator applications. If we get no DJ training applications, we will see if we can get some sort of compensation for trainers, e.g. offer a guaranteed main bar slot. Applications will open on Friday for one week.
  • For now, DJ training will be a DJ practise slot.
  • New incident reporting form is here:https://airtable.com/shr4uxrAdaLCp0QHO.When submitted, the information goes into Airtable. Incidents to be reviewed in committee meetings. If necessary, they will be escalated to the Union. Any outcomes will be listed on Airtable.
  • We want to upgrade MTX and Dante. Currently, MTX links everything apart from StAge and 601. The MTX boxes support Dante, which would allow StAge and 601 to be linked. Requires an expansion card to be purchased for X32. Dante is the industry standard for audio networking.•
  • Equipment in backstage bathroom will soon be gone.
  • Raf has purchased an RJ45 crimper, so we can repair the broken Ethernetcables.
  • Sam, Andrew and Will (in his roll as Tech and Operations Officer from Mermaids) had a meeting to discuss training. Some collaborative training will be organised between the two subcommittees. We will advertise each other’s training.
  • There is a new health and safety sign off form. Everybody must complete this to work on events.
  • We want radios. The Byre may have some. We do no know if they work with the Union’s radios but it does not matter, they will still be useful.
  • The EM form has been re-written to include the use of a radio. This is useful, because reception is now closed, so we have no point of contact.
  • The camera should be moved out of Raf’s office so that we can access it at night. Perhaps it can be moved into the security office.
  • Please message Will about the social. We need to get a tab approved (the amount of money to be decided by Union staff). Let Will know about any ‘sweets’ that you would like.
  • The hire kit belongs to MusFund. We would like it, seeing as we are the ones who know how to set it up. Needs to be discussed with them, as we are not thieves.
  • We need more XLR cables. We have cable and ends, but we need to actually make the cables.
  • New EM form: the current form is a bit outdated. Andrew proposes an update.
  • StAge & 601 Signage–No strobe signs on the doors before club nights. Is this our responsibility?–Fire escape signs in 601 are covered — reported via Union website.
  • Plan for wristbands / Ents (and AAA) passes for non-major events
  • Can we tag/label/barcode more equipment? Need stickers from Raf.
